RIM: Records Maintenance and Use

The process of systematically managing the creation, receipt, storage, retrieval, and use of records.

Level 1 Essential
  • Performs physical file maintenance tasks, including interfiling and applying tracking or identifying labels to maintain the integrity of the records.
  • Consolidates and closes files according to set procedures; monitors onsite and offsite facilities in accordance with security and access rules.
  • Assists with records audits for compliance, re-organisations, acquisitions and mergers
  • Retrieves vital records to support the resumption of business activities.
  • Gathers statistics to support programme deliverables and continuous improvement.
  • Reports progress on work plan and targets.
  • Directs processing of information assets involved with mergers, acquisitions, divestitures, and reorganisations by applying classification and taxonomy schemes so information assets are handled using established controls and processes.
  • Provides supervision and guidance in centralized and decentralised file management operations to improve access and control.
  • Reviews short- and longterm resources and space requirements for facility planning.
  • Manages integration or transfer of information assets as a result of internal reorganisations, mergers, acquisitions or divestitures.
  • Manages RIM storage facilities (internal and external) to ensure the security and protection of organisational information assets.
  • Creates and articulates recordkeeping protocols and policies for the availability of authentic records.
  • Responds to requests for compliance information to assist in organisational governance.
