RIM: Preservation of Records

The process of preserving and conserving records to ensure their protection and use by adhering to technical guidelines and best practices.

Level 1 Essential
  • Protects inactive and/or archival records by monitoring environmental controls and preventing unauthorised access following established procedures.
  • Participates in implementation of the organisation’s preservation and conservation plans as directed.
  • Participates in the implementation of disaster recovery plans to ensure records and archives are protected and available after a business disruption.
  • Collects data from monitoring equipment and document findings for review and interpretation by a conservator or environmental specialist.
  • Assists conservator in education and training activities.
  • Provides input to disaster planning efforts by assessing and documenting critical business processes and securing vital records.
  • Assists with establishing and implementing security classification policies and procedures.
  • Monitors the processes for transferring or migrating records and information.
  • Establishes and promotes organisational policies and practices to preserve and maintain information assets and vital records.
  • Establishes and implements organisational policies and practices that establish business continuity plans for records.
  • Analyses environmental data and reports to take corrective action.
  • Manages education and training activities.
  • Leads on preservation issues and practices.
  • Advises the CEO/ Permanent Secretary and also creates a culture of handling information appropriately.
  • Partners with IT to develop best practices and preservation strategies, employing electronic information repositories.
  • Manages, evaluates, and maintains the RIM business continuity programme.
